THE SHOW-PLANNING CHECKLIST

Make the trip worthwhile.

  1. Choose the decision first

Write one decision the trip should improve: equipment shortlist, packaging specification, retail positioning or service partner. Choose the event that puts the right people in the room.

  2. Bring a one-page production brief

Record target formats and weights, saleable output, material preparation, available utilities, staffing and packaging needs. Give suppliers the same brief so their answers are comparable.

  3. Book substantive meetings

Pre-arrange demonstrations and operator conversations. Leave time to inspect equipment, ask follow-up questions and record what still needs a production trial.

  4. Separate a demo from acceptance testing

Record the material used, run duration, operator interventions, rejects, weight distribution and changeover steps. A short show-floor cycle cannot establish sustained output with your own flower.

  5. Price the entire trip

Include passes, travel, lodging, freight if exhibiting and staff time. Track cost per qualified meeting and cost per completed trial, not just badges scanned.

  6. Assign the follow-through

Give every useful conversation an owner, next step and date. Review resulting trials, qualified opportunities and attributable contribution margin after 30, 60 and 90 days.
